Outlook on the Move: 6 key things to know

The Outlook on the Move project at Penn State Health Milton S. Hershey Medical Center and Penn State College of Medicine will run now through December 2019. This project touches Outlook mailboxes and workstations of all faculty, staff and students. Its purpose is to move email and workstations to a more stable, secure and modernized platform that supports the growth of Penn State Health and the College of Medicine.

Here are six key things for everyone to know:

1. Pay attention to communications from Outlook on the Move. You will receive a calendar migration appointment and informational reminders of your move to the new platform. Watch the Lunch and Learn recording or review this slide deck and share it with your staff for more details.

a. You and your staff will receive a calendar appointment two weeks in advance of your scheduled time. You will also receive email reminders one week and one business day before your migration date.

2. Ensure your Windows device is plugged into a wired connection before you leave the day of your scheduled migration. See the FAQ for more details on a wired network connection.

a. When you and your staff return to work after your migration, you will need to allow a utility to run which is kicked off automatically once you log in.

b. If you or your staff have a laptop that you typically take home, be sure to leave it at work, plugged into a wired connection for your scheduled migration.

c. Apple Macintosh devices do not need to be plugged into a wired connection but will require a manual process after your migration. See the Mac Device Outlook instructions or call the Service Desk for assistance.

3. Reinstall SecureMail and SecureWeb on your mobile device after you are migrated. You must do this only if you use SecureMail and Secure Web. Detailed instructions are available on the project website.

4. Use webmail to access your email if you experience issues during the migration. Webmail will remain available throughout your migration and will be accessible through the following links:

a. Before your migration date: https://webmail.pennstatehealth.net/owa

b. During and after your migration date: https://webmail.pennstatehealth.psu.edu/owa

c. Access to Outlook will occur through Outlook Webmail on clinical workstations, point-of-care workstations and shared workstations (i.e., workstations in conference rooms, workrooms, etc.) The Outlook icon on the workstation will direct you to Outlook Webmail.

5. Reach out to the Service Desk at 833-577-HELP (4357) or OutlookontheMove@pennstatehealth.psu.edu with any questions, concerns or comments. Refer to the project website for full details and support information, including Frequently Asked Questions, Cheat Sheets and the Lunch and Learn presentation.

6. Connect through the Windows10 Corp desktop when accessing resources after your migration through the Remote Access Portal.
