Penn State Health Reimagined replaces Kronos with new timekeeping system Aug. 1

Workforce Management (WFM), a new timekeeping system, will replace Kronos on Sunday, Aug. 1. The switch, part of Penn State Health Reimagined, creates key changes for managers and exempt and non-exempt employees.

Key WFM actions and reminders for managers and supervisors:

  • After WFM launches Aug. 1, managers and supervisors must enter a standard schedule for exempt employees in the new system as soon as possible.
    • Refer to the WFM supervisors job aid for the process on adding a schedule.
    • Access the WFM for supervisors eLearning course on Compass.
  • SmartSquare exempt employees: Managers must enter schedules for exempt employees into the new WFM system.
  • Managers and supervisors must approve all employee timecards for the current pay period in Kronos by July 19.
  • Advise your teams on key changes for exempt and non-exempt employees.

Key WFM actions and reminders for exempt and non-exempt employees:

Note: Employees should use the time clock at their station or location. Kronos timeclocks are being replaced with new WFM time clock across the health system.

  • Non-exempt employees will begin clocking in/out using the new WFM time clocks onsite or using the computer WFM Mobility application.
  • Non-exempt employees who clock in from a computer must use the WFM mobility application.
  • SmartSquare will remain in use. Managers must enter schedules for exempt employees into the new WFM system.
  • Exempt employees will no longer clock in/out in WFM.
  • Both non-exempt and exempt employees will use the new system for submitting their own time off requests.
  • Employees must reenter any paid time off requests for any dates past July 18 in the new WFM system, even if they have already been approved in Kronos. 

Upcoming Reimagined system launch dates:

  • WFM/Timekeeping: Sunday, Aug. 1.
  • Global Human Resources (GHR) – human resources and expense management: Sunday, Aug. 1.
    • GHR day-to-day processing for functions including expense management, hiring, workers’ compensation, life event changes, benefits elections and termination processing.
    • Global Human Resources (GHR) Job Aids.
